Application Process
In order to keep our club vibrant, it is a responsibility of every member of our club to bring in new members.
We have streamlined the application process to make it easy and to ensure timely handling of all applications. At any step in the process feel free to call or email the Membership Development Chair, Classification Chair, or the Executive Director with your questions.
Step 1: Invitation
Identify someone in our community who is at the top of his/her business, would make a good Rotarian and is interested in joining. Ideally you will have known the prospect for a year or more. If not, have the person begin attending meetings to get to know you better and meet other potential sponsors. We want to make sure that the prospective candidate feels comfortable in our club. You will be that person's primary sponsor.
Review the club directory to see if current member(s) are in a similar business and classification.
- If the prospective member would be an Additional Active to someone(s) already in the club, contact the classification holder(s) to see if there is information, which might affect the prospect's candidacy. We want to make sure that the proposed candidate is respected within his/her industry.
- If there is no current classification into which the prospect might fit, that's fine – we can add one!
Step 2: Membership proposal
Identify two co-sponsors who have known the prospect for at least six months and wholeheartedly support bringing the person into the club.
Complete the Preliminary Proposed Member Questionnaire (Click here to download the PPMQ), including a suggested potential classification, and e-mail it back to Pauline Hill, Staff Assistant at pauline@rotary.org as soon as possible. She will forward the PPMQ to both the Membership Development and Classification Chairs, who review it for possible conflicts and assignment of the most appropriate classification.
Step 3: Membership application
Once the Classification Chair determines that there likely will be no objections, the Rotary office will email the membership materials to the applicant, primary (you) and two co-sponsors.
The Club’s President will include a letter in this package to direct the potential member to complete and return the application to the Rotary office as soon as possible. The Rotary Office will also urge the sponsors to complete their application as quickly as possible.
It is the role of the primary sponsor to answer (or get answers to) any question the prospect may have, as well as to follow up to make sure prospect's and sponsors' forms are filled out and e-mailed back to Pauline Hill at pauline@rotary33.org.
Step 4: Classification
Once the Rotary Office receives responses from the candidate and the three sponsors, Pauline Hill will forward the Membership Package combined with the PPMQ to the Classification Chair.
The Classification Committee reviews the application and schedules it for discussion at the next meeting. The Classification committee usually meets every third Thursday of the month. The committee needs to review the candidates at least one week before the committee meeting. At the meeting, the Classification Committee votes on whether or not to recommend approval of the applicant to the Rotary Board.
Step 5: Board approval
The recommendation of the Classification Committee is forwarded to the Board, who will vote on the application at its next meeting (usually the fourth Friday).
Step 6: Membership approval
If approved for membership by the Board, the applicant's name and classification are printed in that week's Rotator. The Rotary Office will wait two weeks after the Rotator announcement to see if there are any objections.
Step 7: Acceptance
If the Rotary Office receives no objection to the application of membership within two weeks after of the Rotator announcement, a letter is sent by mail to the prospect, officially inviting him/her to join Club 33, with a copy to you.
You should stay in touch with the prospect and encourage a prompt reply. If the proposed member accepts the invitation, he/she returns the letter along with the initial membership dues/fees.
Once the reply and money are received at the office, Pauline Hill will contact you to suggest several available dates for the new member's introduction and to ask you to coordinate finalizing a Rotary luncheon meeting date when both you and the new member can be present.
Step 8: Introduction to our Club 33
At the agreed upon Rotary meeting you or one of your co-sponsors will make a two-minute introduction of your new member.
We hope you will keep in touch with this new member you have brought into Rotary and encourage him/her to join different committees to help him/her become an active and satisfied participant in Rotary Club 33.
